how and when to create categories/features.

for building, productivity, sorting, etc.

You create a discord server, or you are building an app, a service, or anything else.

You create an app with all kinds of features in the world. Only to find out no one will be using it.

You created a habit tracking system only to never use it.

It happens when there's no real need you ever felt, only thought "it's cool to have".

It's a want not a need, yet.

Example -

Adding "categories" in your todo list.

First just start doing it. Use it, add all sorts of tasks in it. When you feel things are getting cluttered and needs a bit sorting, then do it. You feel the need of it, that's when you truly start using it.

Same with your discord server, you create tons of channel, voice, general, chill, memes, and no one is using it. Because no one ever felt the need of it.

Once things get cluttered, then create another channel for memes, oh now people are also giving recommendations, then create other channel for it. That's how your structure keeps improving.

Easier you know.

Create MVP, use it yourself, you feel the needs for changes/improvements/additions, then do it.

Saves time, and efforts.
